When holding a virtual meeting with a client with Limited English Proficiency (LEP), an interpreter must be used following the guidelines below. Connecting with an interpreter for virtual meetings requires no prior scheduling or special equipment. Interpreters will join the call as an audio-only participant, similar to three-way calling.
Instructions for Zoom
Once you are connected to the Zoom video conference with the client:
Select "Manage Participants" to invite an interpreter to your call.
Select "Invite," then "Invite By Phone."
If Zoom prompts you for a name for the new participant, enter "Interpreter."
Dial the Lionbridge interpreter services number, 800-444-6627, then click "Invite."
When a connection is made, follow the voice prompts to select the language you need interpreted. The interpreter will join the call as a voice call participant, and will be able to hear and respond as normally within the virtual meeting.
Video Interpreters for Zoom
Video interpreters can be connected to Zoom calls for virtual meetings, but require 24-hours’ notice to secure an interpreter and invite them to the meeting.
When scheduling a virtual meeting with a client with LEP or who requires ASL to communicate, and a video interpreter is requested or required, send a secure email to your manager with the time, date, language requested, client APID, and Zoom meeting information. Schedule the meeting for at least 2 days away if possible.
The TAO manager will review and forward the request to the Department-approved interpreter service contract manager to invite a suitable interpreter to the scheduled meeting.
The interpreter will join the call as a guest and must be visible; if Zoom prompts you for a name for the new participant, enter “Interpreter.” Spotlight the interpreter. Remember to talk to the client, pause every two or three sentences, and allow the client to watch the video interpreter.
