Print an Invoice

 

After an invoice has been created, you must print it to give or mail to the client for his/her signature, except for DTA Works clients.  You must also mail it to the vendor.  If the invoice is not printed immediately after it has been authorized, you will have to print the invoice after an Invoice Search.

 

Note:

Only print an invoice using the procedures described on this page.  Do not print an invoice by using the Print button on the Invoice page.

 

To print an invoice for a client immediately after it has been authorized by a supervisor, the supervisor would:

  1. select Add Event…The Add Event popup will appear

  2. select Print Invoice from the drop-down

  3. click Select.  The Event-Print Invoice page will appear

    1. select the Recipient from the drop-down 

    2. select the Location from the drop-down.  If the client is present, select Local.  To mail the invoice, select Central

    3. you may enter Comments

    4. the Document field should state Invoice for Special Services Payment.  The Scheduled field should have today’s date.  Both fields should be grayed out

  1. click the Print button.  A popup will appear that states “Do you wish to Print this invoice?  Click Yes to proceed with Printing the Invoice.  Click No to exit without Printing the Invoice.”  Click Yes

    1. the Notice Preview page will appear.  You may look at the invoice before it is printed for a final check

    2. select the Print button on the Notice Preview page.  The printer popup will appear.  Click this print button

    3. close the Notice Preview page

  1. click the Save button to record that you have printed or mailed the invoice

After an invoice has been printed and you click the Save button, it will be recorded in the Print Invoice field on the invoice for each time it was printed.  You may click the Preview button in this field to see the invoice that was printed or centrally mailed.

To print an invoice after you have closed out of it:

  1. go to the My Office tab

  2. select Special Services Payment

  3. select Invoice Search. The Invoice Search page will appear.  Select the appropriate radio button.  You may:

    1. enter both First and Last names of the client; or

    2. enter the SSN of the client; or

    3. enter the Invoice ID; or

    4. enter the Vendor name, Vendor ID or Vendor FEIN; or

    5. enter the Check Num(ber)

  1. click the Search button.  Based on your search criteria, invoices submitted for that client will appear.  Select the invoice you wish to print, then 

  2. select the Invoice icon.  The invoice will appear

  3. click the Add Event button

  4. select Print Invoice from the drop-down

  5. click the Select button.  The Event - Print Invoice page will appear

  6. select the client or vendor name from the Recipient field in the drop-down list

  7. select Local from the Location field in the drop-down list to print the invoice in the office to hand to the client or vendor.  Select Central from the Location field to mail the invoice to the client or vendor.  The Document field will display Invoice for Special Services Payment

  8. You may enter text in the Comments field, as appropriate. If you wish to enter longer comments, the Notepad will appear.  After you have entered comments in the Notepad, click the Save button.  The comments will appear in the Comments field

  9. you may click the Preview button on the Event – Print Invoice page to preview the invoice on the screen, or you may click the Print button to print the invoice

  10. if you selected either Local or Central for the printing Location, a popup will appear: “Do you wish to Print this Invoice?  Click Yes to proceed with Printing the Invoice.  Click No to exit without Printing the Invoice”

  11. if you selected Local for the printing Location the Notice Preview page will be visible.  Select the Print button to print the invoice, then the Print button on the printer popup box.  This will print a paper copy of the invoice. Close the Invoice Preview page

  12. if you selected Central for the printing Location the following popup will appear:  “Your request for Central Printing has been accepted.”  The client or vendor will receive the invoice in the mail.  Click OK

  13. a Print Invoice summary section will be visible in the Invoice page as soon as the Invoice is printed and other pages have been closed.  The Print Invoice summary section will be available for future reference

  14. select the Save button

  15. close the Invoice page

If you wish, you may cancel a Central Print job for an invoice before it has been mailed, but to do so, you must cancel before that evening’s batch job.

To cancel a Central Print job that day:

  1. go to the Invoice page by selecting Invoice Search under Special Services Payment

  2. enter the correct client SSN, AP ID, or Invoice number and select Search

  3. click the appropriate check box and select the Invoice icon.  The invoice page appears

  4. scroll down to the relevant Print Invoice field that had a Central print job.  The Cancel buttons are bright, not gray

  5. select the Cancel button.  A confirmation popup will appear that states “Do you wish to cancel the request to print the invoice centrally?”  Select Yes

  6. select the box next to the Print Invoice field.  This will open up the entire field.  In the comments field there should be a message that states “Print request cancelled by user xxx, xxx on xx/xx/xxxx xx:xx (case manager, date and time).  The Cancelled field will state the date of cancellation

  7. after cancellation, select the Save button to save the cancellation
