Creating Follow-up Actions

 

In some instances, you will need to create schedule future Actions to make sure that the Department follows up with anticipated changes to a case.  Situations which necessitate the scheduling of Follow-Up Actions include:

Follow-Up Action is scheduled upon dismissal or completion of an assigned Action.

 

Steps for creating a Follow-Up Action when dismissing or completing an action

  1. after updating the status and Comments section of the assigned Action, from the Action Details page, click the Follow-Up button

 

Important

Upon completion or dismissal of an Action, the Follow-Up button must be clicked if the Action requires future attention.  Left unclicked, a completed Action and most dismissed actions will disappear rather than result in follow-up. See Dismissing an Action.

 

  1. change the Action due date to the future date on which the Action you are creating must be addressed

Note

The Action due date cannot be more than a year in the future. Actions that need to occur beyond the BEACON threshold of 1 year should be added to the narrative for follow-up.  

 

  1. click the Action Notes popup button (i magnifying glass icon) to open the Action Notes popup page

  2. write a detailed comment (minimum of 25 characters) clearly explaining the Follow-Up Action that will need to be completed

  3. click the Create button to close the Create Action popup page and return to the Action Details page

  4. click the Save button on the Action Details page

  5. close the page using the X button in the upper right hand corner

 

Steps for scheduling a Follow-Up action from the My Actions page

  1. click My Actions in the My Office tab to open the My Actions page

  2. click Create Action to open the Create Action popup page

  3. click the “i” icon to open the Client Search popup page

  4. enter the client’s first and last name, Social Security Number, and/or APID

  5. click Search

  6. check the box next to the appropriate client’s name in the resulting client list.  The Client Search popup page will close, returning you to the Create Action page where the selected client’s information will populate in at the top of the page.

  7. in the Create Action box on the Create Action popup page, change the Action group to Case Maintenance (if not already set)

  8. change the Action type to Follow-Up

  9. change the Action due date to the future date on which the Action you are creating must be addressed.

 

Note

Important

Do not update the business due date  

 

  1. click the “i” icon next to the Comments box to open the Action Notes popup page

  2. enter a detailed description of the Action to be completed

  3. click the Save icon

  4. the Action Notes popup page will close, returning you to the Create Action page where your description of the Action will appear in the Comments box.  Click Create

  5. the following popup message will appear:  “Action was created successfully.”  Click OK

  6. close the Create Action page using the X button in the upper right hand corner

The created Action will be assigned to you, and will appear on your Self Assigned Actions Due After Today list until the date that it becomes due, when it will move to your Action list.  Because it is already assigned to you, it will not appear as an Outstanding Action via the Create Action function or Outstanding Action button upon completion of Actions.  It can however, be viewed via an Action Search.
